Article summary

The Edit Student screen appears whenever you click the student ID link or select the Edit option located under Actions. It allows you to update Student details and view all relevant information, including activity logs and any tickets linked to the Student.

An Student record is divided into nine collapsible sections. The three most important are Personal Information, Related Assets and School Information, which contain key details such as Student identifiers and user assignments. The other six sections—Policies, Student Contact Information, Person Responsible Contact Information, System Information, User Restrictions, Related Files, and Custom Fields—hold additional, optional data. The Status field is required and defaults to Active.  

All Student fields can also be imported via Excel files. Note that files uploaded under Related Files must not exceed 10 MB.

If any changes are made on the Edit Student Screen, be sure to click the   button, located either at the top right or bottom left of the page, to save your changes.  

To edit a student record, click the student ID link or select the Edit option located under Actions.

Once you have made your changes, click the button—located at the top right or bottom left of the page—to ensure all data is saved.

The fields in the image above are numbered to match the list below:

  1. Quick Ticket - If Quick Ticket is setup in your Submit Tickets settings, Clicking it will display the submit ticket screen and populate the Student information into the ticket.

  2. Print Label: Clicking the Print Label button opens the screen shown below. From this screen, you can select the printer you’d like to use for label printing. A compatible label printer must be properly set up and connected to complete the printing process. If you are printing to a Dymo printer, a drop-down menu will appear allowing you to select the desired Label Size.

  3. Tickets (#):  Clicking the Tickets button opens the screen shown below. This view displays all information related to tickets submitted for the selected Student. You can access a specific ticket by clicking the TSK number in the highlighted area or by clicking the icon under the Actions column—both options will take you directly to the ticket details.  

  4. Assets: Clicking the Assets button opens the screen shown below. From this view, you can see when the asset(s) that were assigned to this Student.   

  5. Invoices: Clicking the Invoices button opens the screen shown below. Here, you can view any invoices associated with the Student. To access a specific invoice, simply click the icon under the Actions column.

  6. Activity Log: Clicking the Activity Log button opens the screen shown below. This log displays all changes made to the Student, including what was changed, when the change occurred, and the user responsible.   It records every change made, along with the time of the change and the user who made the change.

If you make any changes on the Edit Student screen, be sure to click the  button—located in either the top right or bottom left of the page—to ensure your updates are saved.
